School Management : Student Application Configuration

Student’s Application Configuration 


Pre-Requisite: 

1. Setup Classes for the Grading Period

2. Invoice Item in the Master Item( BIlling Module)

3. School information in the School Setting



Enquiry Configuration

   

  • Enquiry Running Number - You can set the enquiry running number, prefix and suffix for the enquiry. 

  • Enquiry URL - By default, the system will assign 1 link for the school’s Admission Enquiry form. You may customise the link as per your preference

  • Facebook URL - Your Facebook URL (if any). This will create an icon in your Enquiry form for potential parents to view the school’s Facebook.

  • Instagram URL - Your Instagram URL (if any). This will create an icon in your Enquiry form for potential parents to view the school’s Instagram

  • Twitter URL - Your Twitter URL (if any). This will create an icon in your Enquiry form for potential parents to view the school’s Twitter

  • View Enquiry - You may view the Enquiry form based on the data that you set in the Enquiry Configuration




Note: Some of the data in the Enquiry Form such as the School’s Contacts, School Address, and Website are from data that you have put in the School Info 




Application Configuration


  1. Application Running Number - You can set the application running number, prefix and suffix for the application. This will give you the data of how many enquiries proceed with the application after their Enquiry Stage
  2.   Application Fee - If there is an application Fee involved in the Application status, you may set the setting on the Application Fee status. The Application Fee invoice will be automatically sent to the parent once they submit the Application Form
  3. Application Fee Invoice - Once you have turned on the Application status, you can choose the Application Invoice Template. If you did not choose the application Invoice template, the system would assume that there is no Application Fee invoice in the Application Status.
  4. Application’s Fee Amount - You may set the Application Fee amount and the ledger that is tagged to this application fee. You will need to set the Invoice Item in the Billing Module beforehand



Registration Configuration


Registration Running Number - You can set the registration running number, prefix and suffix for the registration. This will give you the data of how many application proceed with the registration after their Application Stage

Offer Letter



       Creating an offer letter for student enrollment is important because it outlines the terms and conditions of the student's admission to the institution. The offer letter typically includes details such as the program of study, start date, tuition fees, and any conditions or requirements that the student must meet before enrollment.


Having a clear and concise offer letter helps to ensure that both the institution and the student are on the same page regarding the terms of the enrollment. It also serves as a formal document that can be referred to in case of any disputes or issues that may arise during the enrollment process.


  • Once the potential student has passed all the Application requirements, and the school has decided to offer the student, you will need to send an offer letter.

  • You may create multiple Offer Letter templates according to your preference/condition

  • Click Add to create an offer letter.

  • Input your Offer Letter Title, Category and letter content.

  • You can set variables such as Student Name, Parent Salutation, Parent Name, Issue Date, etc

  • Review the offer letter in the Preview Pane on the left to ensure accuracy

  • Choose the status to activate the Offer Letter

  • Click Update



  1. Conditional Offer Letter

You can set a conditional offer letter for student enrollment to outline the terms and conditions that must be met before the student can be fully accepted into the program if the student did not meet the school requirements to be enrolled.  This can include requirements such as meeting certain academic standards or submitting additional documentation. 

  • You may create multiple Conditional Offer Letter templates according to your preference/condition

  • Click Add to create a letter.

  • Input your Conditional Offer Letter Title, Category and letter content.

  • You can set variables such as Student Name, Parent Salutation, Parent Name, Issue Date, etc

  • Review the offer letter in the Preview Pane on the left to ensure accuracy

  • Choose the status to activate the Conditional Offer Letter

  • Click Update



  1. Rejection Letter

            If the student did not meet the requirements to be enrolled in the school, you  can also set the Rejection letter so that the system can generate Rejection letter
